n8n automation: 7 processes every SMB should automate

Automate processes instead of hiring. These seven workflows save time right away — and with n8n you can run them in-house, GDPR-compliant.

In short

n8n connects your tools via a visual builder — open source and self-hostable in the EU. These seven routine processes are almost always worth automating first:

  • Lead capture into the CRM · quote/invoice sending · appointment booking
  • Content distribution · automated reporting · customer onboarding · review requests

What is n8n — and why not just Zapier?

n8n (n8n.io) is a workflow automation tool: a trigger (e.g. "new form submitted") sets off a chain of actions (e.g. "add to CRM → confirmation email → Slack message"). The key difference from Zapier or Make: n8n is open source and self-hostable — including on a server in Germany. That means full data control (GDPR), no per-action fees, and arbitrarily complex logic including AI steps.

Automation doesn't mean "replacing people." It means handing routine to the machine so people can work on what's valuable.

The 7 processes that almost always pay off

1. Lead capture → CRM

A form submission lands in the CRM automatically, gets assigned to an owner, and triggers a Slack or email notification. No manual retyping, no forgotten lead. Optionally, an AI step pre-qualifies the inquiry and drafts a reply.

2. Quote and invoice sending

A confirmed deal automatically generates a quote or invoice (PDF), sends it, and files it in your accounting tool. Saves minutes per transaction — hours per week at volume.

3. Appointment booking → calendar + CRM

When someone books via your scheduling tool, the appointment is added to the calendar, a confirmation is sent, a reminder is scheduled, and the contact is updated in the CRM — all without lifting a finger.

4. Content & social media distribution

An approved post is automatically prepared for several channels and published on schedule. With an AI step, per-platform variants can be generated along the way.

5. Automated reporting

Every Monday, a performance report from Google Ads, Analytics, and the CRM — assembled automatically and delivered as a clear summary via email or Slack. An AI step writes the key takeaways in plain language.

6. Customer & employee onboarding

New customer or new colleague? The workflow creates folders, sends welcome materials, and sets up tasks and access by checklist. Nothing is forgotten, everything is documented.

7. Collecting reviews & feedback

After a project or purchase, a review request is sent automatically with a delay — the strongest lever for more reviews (and, incidentally, a trust signal for AI search). Negative feedback is escalated internally instead of landing in public.

Where to start?

Rule of thumb: pick the most annoying recurring process — the one with the same clicks every week. That's usually the best first candidate. A single well-built workflow often saves several hours a week and pays for the next ten.

We build automations like these end to end — open source, maintainable, and GDPR-compliant in the EU on request. See what that looks like in real projects in our case studies.

FAQ on n8n & automation

What is n8n?
n8n is a workflow automation tool that connects apps and services without deep coding. Unlike many alternatives, n8n is open source and can be self-hosted on your own servers (including in the EU) — an advantage for data privacy and cost control.
Do I need programming skills?
For many standard workflows, no — n8n uses a visual node-based builder. For more complex logic or custom API integrations, programming knowledge helps but is not required. On request, we build the workflows end to end and hand them over maintainable.
What can you automate with n8n?
Practically any recurring, rule-based process: lead capture into the CRM, quote and invoice sending, appointment booking, reporting, onboarding, review requests, data sync between tools — often combined with AI steps.
Is automation worth it for small businesses?
Yes. In small teams especially, manual routine tasks tie up a disproportionate amount of time. A single automated process often saves several hours a week — time that flows into the core business instead of copy-paste.
