AI automation for small and mid-sized businesses

We save companies what matters most: time and money.

With automation for the processes that pile up at your company: inquiries, quotes, invoices, sales, reporting. On your tools, in weeks instead of quarters.

At a glance

You have more orders than hands. Every new hire takes months, every software rollout a year, and the inquiries still pile up. BitsAndBucks builds the automation in between: it reads, sorts, prepares. You only click approve.

In action

One inquiry. Zero manual work.

1Inquiry arrives by emailCustomer writes, PDF attached
2AI reads and checksWhat do they want, does it fit, what is missing?
3CRM record is createdContact, company, need, deadline
4Quote is draftedLine items from your price list
5You approveOne click, and it is out

This is how it runs at a client today. The human stays exactly where decisions are made. Everything before that runs on its own. Four examples with numbers in our work

Use cases

Whatever piles up at your company, we build it away.

Inquiries & quotes

Inquiries get read before you open them.

Inquiries come in, get read, qualified and land with you as a finished draft quote. You review instead of typing. And no inquiry waits three days in the inbox anymore.

  • Read the inbox
  • Qualify the inquiry
  • Draft quote
  • CRM record

Invoices, documents & back office

Paperwork that files itself.

Invoices, delivery notes, forms: read, match, file, book. No retyping, no folder chaos, no question of who is doing it this week.

  • Document recognition
  • Accounting sync
  • Filing rules
  • Dunning run

Sales & CRM

Sales makes calls. The research runs alongside.

Find, enrich, contact and follow up on leads. The CRM is always current because nobody has to maintain it by hand anymore. Follow-ups go out even when nobody is thinking about them.

  • Lead research
  • Enrichment
  • Outreach sequence
  • Follow-up logic

Reporting & knowledge

The weekly report writes itself Monday at seven.

Numbers from all systems, one report, on time. Plus an assistant that knows your manuals, contracts and emails and answers questions, instead of someone going searching.

  • Automatic reports
  • Dashboard
  • Knowledge assistant (RAG)
  • Email triage

Anything that repeats

Your process is not listed? If it repeats, it can be built.

Whether onboarding, scheduling, order matching, quality logs or contract renewals: in the workshop we put your process on the board and calculate whether the build pays off. Usually it does.

  • Built for you
  • On your tools
  • GDPR-proof, EU hosting
  • You keep the workflow
How it works

Three steps from "piles up" to "runs".

01

Workshop

60 minutes, free, remote or on site

We put your process on the board, see where the hours disappear and what they cost you per year. You leave with a prioritised list, whether or not you continue with us.

02

Build

First automation in one to three weeks

We build the process that costs the most, on your tools. You see it running with real data before you sign off.

03

Operation

Monthly, cancellable

Runs, is monitored, grows with you. If a tool or a process changes on your side, we follow. And build the next process when you are ready.

Questions

What we get asked before the first call.

What does it cost?

It depends on the process. The workshop is free. Building the first automation usually costs between 2,000 and 10,000 euros, depending on how many systems are involved. Operation and maintenance after that are in the low hundreds per month. You get the exact price before the start, not after.

Which tools does it run on?

Yours. We build with n8n, Claude and, where it fits, Make or small services of our own, and connect that to your existing systems: email, CRM, accounting, ERP, Google Workspace or Microsoft 365. You do not have to switch anything.

What happens to our data?

It stays in Europe. We host on EU servers, sign a data processing agreement with you and use AI models in a way that your data is not used for training. Which data flows where is written down before the build in an overview you approve.

What if something breaks?

The automation notices first, then we do. Every workflow has error handling and reports when something does not go through. In operation we check in regularly, fix and adjust when a tool or a process changes on your side.

Do we own the workflow?

Yes. By default it runs on our servers, though, because we maintain it: that lets us step in faster, and you save the n8n fees. If you ever want to run it yourself, we hand it over completely, with documentation. No lock-in.

How long until the first automation?

On average one to three weeks after the workshop, depending on the process and the number of connected systems. We start with the process that costs you the most time and then build on step by step.

Do we need our own IT?

No. You need someone who knows the process and gives us access to the tools. We do the rest. If you have an IT team, we are happy to involve them.
